A booking is not confirmed until you receive written confirmation from Travel by Fresnaye and, where applicable, a confirmation number from the supplier. Rates and availability are subject to change until the booking is confirmed and payment is received.
Travel by Fresnaye may charge advisory, planning, or booking service fees. Any applicable fees will be disclosed to you before you authorize a booking. Some services are remunerated through supplier commissions at no additional cost to you.
By providing payment information, you authorize us to charge the applicable amounts for your booking. Supplier-specific deposit schedules and payment deadlines will be communicated at the time of booking. Failure to meet payment deadlines may result in cancellation of your reservation and application of supplier penalties.
All prices quoted are in US dollars unless otherwise specified. Prices are subject to applicable taxes, fees, and surcharges. While we strive for accuracy, pricing errors may occasionally occur. In the event of a pricing error, we will notify you before processing your booking and offer you the option to proceed at the correct price or cancel without penalty.
Cancellation policies are set by individual suppliers — hotels, airlines, cruise lines, and tour operators — and vary significantly by property, fare class, and booking type. These policies will be disclosed to you prior to confirming your booking. Cancellation fees imposed by suppliers are your responsibility.
Advisory and planning fees charged by Travel by Fresnaye are generally non-refundable once planning services have commenced, regardless of whether a trip is cancelled or modified. This reflects the time and expertise invested in your itinerary.
We strongly recommend purchasing comprehensive travel insurance to protect against trip cancellations, medical emergencies, and other unforeseen events. We can assist you in obtaining coverage from our preferred insurance partners. Travel by Fresnaye is not liable for losses that would have been covered by travel insurance.
We are not liable for cancellations, delays, or losses arising from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, acts of government, civil unrest, terrorism, or supplier insolvency.
You are solely responsible for ensuring that you and all travelers in your party hold valid travel documents required for your destination, including:

We are not liable for denied boarding, entry refusal, or additional costs resulting from insufficient travel documentation.
Travel by Fresnaye acts as an intermediary between you and travel suppliers. We do not own, operate, or control airlines, hotels, cruise lines, tour operators, or other service providers. Accordingly:
To the maximum extent permitted by applicable law, our total liability to you for any claim arising from our services shall not exceed the total fees paid directly to Travel by Fresnaye for the services at issue. This limitation does not apply to liability for fraud or gross negligence.

Our affiliation with Fora Travel and Virtuoso means that certain bookings may be processed through these networks. Their respective terms may also apply to transactions conducted through these platforms.
The Travel by Fresnaye mobile application is available for iOS and Android. By downloading or using the App, you agree to these Terms as well as the additional terms applicable to the mobile application, including those imposed by Apple Inc. or Google LLC through their respective app stores.
The App may request access to device features including camera, push notifications, and location services. You may manage these permissions through your device settings. Disabling certain permissions may limit App functionality.
We reserve the right to update, modify, or discontinue the App at any time without notice. We are not liable for any loss arising from such changes.

These Terms are governed by the laws of the District of Columbia, United States of America, without regard to its conflict of law principles. For clients located in the United Kingdom, English law shall apply to the extent required by applicable consumer protection regulations.
Nothing in these Terms shall limit your rights as a consumer under the mandatory laws of your country of residence.
We encourage you to contact us directly in the event of any dispute. Most concerns can be resolved informally through communication with our advisory team.
If a dispute cannot be resolved informally, you agree that any claims arising under these Terms shall be submitted to binding arbitration in Washington, DC, in accordance with the rules of the American Arbitration Association, on an individual (non-class) basis. You retain the right to bring individual claims in small claims court.
UK clients may raise complaints through the relevant UK Alternative Dispute Resolution scheme where applicable.
